如何寫好工作郵件
很多公司員工不知如何寫好郵件,尤其是英文郵件,特撰寫此文,供大家參考學(xué)習(xí)。若有不對之處,請隨時指出。
寫好郵件的好處
郵件是工作中最重要的溝通工具之一。寫好郵件至少有以下好處:
- 好的郵件格式是對收件人最起碼的禮貌,尤其是發(fā)給客戶的郵件。
- 表現(xiàn)出自己端正的態(tài)度和專業(yè)素養(yǎng),給人留下好的印象。
- 寫好郵件不僅體現(xiàn)了個人面貌,還代表著公司形象。
- 好的郵件可以溝通到位,減少溝通成本,事后可做備案追溯。
寫壞郵件的害處
寫壞的郵件,尤其是給客戶的郵件,至少有以下害處
- 不好的郵件格式會顯得不尊重收件人。尤其是發(fā)給客戶的郵件,有損公司形象。因小失大。
- 給自己造成不夠認(rèn)真負(fù)責(zé)的負(fù)面印象,次數(shù)多了,影響晉升加工資。
- 郵件內(nèi)容不夠準(zhǔn)確圓滿,會增加溝通來回次數(shù),耗時耗力,影響情緒。

主題,郵件標(biāo)題不超過6個詞,言簡意賅說明郵件主題,比如

稱謂,工作中按慣例一般寫成

Dear Team,
正文,把最重要的事情寫在正文最前面或者郵件內(nèi)容較長時寫在第一段。為了讓收件人閱讀郵件比較舒服,需要注意郵件正文結(jié)構(gòu)的美感,郵件段落最好控制在兩三段之內(nèi)。如果一封電子郵件涉及多個信息點(diǎn),我們可以采用分條目的方法,如符號、小標(biāo)題、編號來使得郵件想要表達(dá)的內(nèi)容層次清晰。郵件內(nèi)容應(yīng)注意單詞的拼寫、大小寫、標(biāo)點(diǎn)、語法等。另外注意段間距,行間距。以上格式都可以用工具自動排版,避免用空格,空行,編號等手動排版。

英文郵件注意事項(xiàng)
- 保證詞句正確,可借助翻譯工具,比如 http://youdao.com/
- 用Outlook或Word寫郵件時,需解決掉因拼寫錯誤造成的紅色下劃波浪線。
- 用Outlook或Word寫郵件時,常用工具欄中的各種工具,比如筆刷,對齊,編號,字體,段間距,行間距等。
- 對于匯報類郵件,需寫明完成了哪些工作,還有哪些沒有完成,遇到什么問題,有何解決方案,打算什么時候完成。
- 對于敘事類郵件,需闡明背景,敘事清晰。
- 對于回復(fù)類郵件,需針對問題一一正面回復(fù),對需解決的問題,提出建議或解決方案。
- 注意回復(fù)類郵件的時效性,需立即回復(fù),盡快回復(fù),不可拖延。
- 平衡好工作時間和寫郵件的時間沖突,一般郵件是在一天工作結(jié)束后發(fā)出。經(jīng)常下班后還差一截才能完成工作。好不容易得到一個結(jié)果,突然發(fā)現(xiàn)還要寫郵件。而此時往往比較疲累了,對寫郵件往往容易草草了事。建議事先準(zhǔn)備好郵件模板,填寫好確定的內(nèi)容。對還沒確定的內(nèi)容,可以完成工作后填寫,節(jié)省此刻的精力。
- 寫完后讀兩遍再發(fā)送。第一遍檢查筆誤,精簡文字。第二遍檢查語氣十分合適,敘述是否清楚。
